Outlook sets up most accounts from the email address and password alone. Microsoft's steps are to "Select File > Add Account", "Enter your email address and select Connect", then "If prompted, enter your password again, then select OK > Finish." The first time Outlook opens, it shows the same screen without going through the File menu.
Add an account
- Open Outlook. If it's the first time, enter your email address on the welcome screen. Otherwise go to File > Add Account.
- Enter your email address and select Connect.
- Enter your password when asked, then select OK and Finish.
Outlook works out the server settings for most email providers by itself.
When your provider asks for an app password
Some providers don't accept your normal password in Outlook and ask you to create an app password in the security settings of your email account. Create one there, then enter it in Outlook in place of your normal password. Microsoft has a separate guide for adding a Gmail account.
Set up IMAP by hand
If automatic setup doesn't find your account, enter the settings yourself. Your email provider publishes the server names, ports and encryption settings.
- Go to File > Add Account and enter your email address.
- Select Advanced options, tick Let me set up my account manually, and select Connect.
- Choose IMAP.
- Enter the incoming and outgoing server names, ports and encryption settings from your provider.
- Select Next, enter your password and select Connect.
Business email on Microsoft 365
Outlook in Office LTSC 2024 connects to Exchange Online mailboxes in Microsoft 365, and Microsoft supports that connection until 9 October 2029. Add the account with your work email address in the same way.
Microsoft's page Add an email account to Outlook for Windows covers more account types.
